Duties And Responsibilities:
Reporting to the Administrative Manager, the Financial/Administrative
Associate uses university and department financial and reporting
systems to provide financial administrative support for the Berkman
Center, and serves as the lead administrator to the Legal Lab, a
Berkman project. Coordinates the accounts payable function of the
center, reviews vendor invoices and statements before processing for
payment, and resolves vendor questions and disputes. Handles all
reimbursements for the center's staff, faculty and fellows. Reconciles
all expenditures on department purchasing cards. Advises and trains
Berkman community in the processing of invoices, purchasing card
transactions and travel reimbursements. Establishes vendors, codes and
processes invoices, and submits to the University for payment.
Responsible for temp and student payroll including setting up research
assistants in the payroll system, entering weekly hours and
coordinating with the human resources office on policies and
procedures. Provides administrative support to the Law Lab, one of
Berkman's projects, performing multiple office duties such as managing
calendars, making travel arrangements, ordering supplies, organizing
meetings, and otherwise helping the project to function effectively.
May on occasion provide assistance to the office manager greeting
visitors and answering the phone.
Basic Qualifications:
1+ years of
experience in financial administrative support required. Attention to
detail and ability to meet deadlines efficiently a must. Comfort with
numbers, financial software, and basic office technologies required.
Additional Qualifications:
Bachelor's Degree preferred. Experience planning travel and events
valuable. Ability to work with many different constituencies, including
faculty, students, vendors, and other departments at Harvard. Excellent
communication skills. Desire to work in a dynamic, fast-paced,
entrepreneurial environment. Experience working with Oracle and
PeopleSoft applications and/or familiarity with Harvard financial
systems a plus.
